PRIVACY POLICY

Who We Are
The College Sector Committee for Adult Upgrading (CSCAU) is an incorporated, not-for-profit organization in Ontario’s postsecondary education sector. Oversight is provided by a Board of Directors. The CSCAU engages in four main lines of business:

1. Supporting and coordinating the delivery of academic upgrading programs for adult learners at Ontario’s 24 public colleges;
2. Providing e-learning courses for the provincial “ACE Distance” academic upgrading program, in cooperation with Ontario’s 24 public colleges;
3. Administering and maintaining the “SkillsMarker” online assessment tools for adult learners; and
4. Engaging in research and development activities and projects.

This Privacy Statement sets out the way we use your personal information arising from using our websites, purchasing or using our programs and/or services, and registering an account with us. The statement also includes what we collect, how we collect it, how we use it, why we use it, who we share it with, and the rights to which you may be entitled.

What We Collect
You can visit the
www.cscau.com or www.acedistancedelivery.ca websites without revealing any personal information about yourself. There are times, however, when we may need information from you.

Personal information such as your name, address, telephone number, and e-mail address are obtained only when you voluntarily submit them, such as when you register for an e-learning program or when you respond to user surveys related to our e-learning programs. Information that you supply will only be used to provide the services noted above. The CSCAU only collects personal information necessary to administer the activities associated with its programs and services, unless otherwise required or authorized by law.


The CSCAU collects, uses, discloses and maintains your personal information in accordance with the Freedom of Information and Protection of Privacy Act, R.S.O. 1990. C. F.31. and the Personal Information Protection and Electronic Documents Act, S.C. 2000, c. 5.


How We Use It
The CSCAU will use the personal information that you provide to fulfill your requests for programs and services for which you are eligible. In the process of administering our websites, we maintain and track usage through web server logs, which provide such information as to what types of browsers are accessing our site, what pages receive high traffic, and the times of day our servers experience significant load. We use this information to improve the content and navigation features of our site. It is not used to personally identify you.

How We Share It
We will not sell any personal information that you provide. We will share the personal information you provide only with other CSCAU service partners who are acting on our behalf for the delivery of our programs and services. Our service partners do not use your personal information for any purpose other than providing services to CSCAU.

The CSCAU delivers the Literacy and Basic Skills Program (using the name “ACE Distance”) through a funding agreement with the Ontario Ministry of Labour, Training, and Skills Development (Ministry) and is required to make its files and records available to the Ministry for inspection, investigation or audit.

The CSCAU is also required to report to the Ministry on:
• The services it provides to you;
• Your education and training progress, as well as your results when you finish the program;
• Your satisfaction with the services you receive; and
• Your follow-up information (related to your employment status) at 3, 6, and 12 month intervals after completion of services.

If you register for our Ministry-funded (“free”) programs and services, including the ACE Distance program, you are required to sign an electronic ‘Notice of Collection and Consent’. (See also the “Consent” section below.)


How to Review/Revise Your Info
Clients and learners of the CSCAU may review and make changes to their personal information by logging into their self-serve account at
www.acedsr.com . In addition, a client or learner can contact the CSCAU at info@cscau.com to request access to and/or update their personal information.


Our Commitment to Data Security
The CSCAU is committed to the confidentiality and security of your information. To prevent unauthorized access or disclosure, maintain data accuracy, and ensure the appropriate use of information, we have put in place physical, technical, and administrative safeguards to secure the information we collect online. The CSCAU engages with a trusted service partner to provide a variety of technical services, including hosting of the website where the client/learner data for the ACE Distance e-learning program is collected and stored.


How We Protect Your Personal Information
We will protect your personal information from loss or theft, unauthorized access, use or disclosure, modification or destruction through appropriate administrative, technical and physical security measures and safeguards.

We follow the
Government of Ontario Information Technology Standards and any other direction or guidance on information technology security received from our government funders and/or our Data Protection Officer.

Who Sees Your Personal Information?
We will not disclose your personal information without your consent unless it is required or authorized by law. Disclosure will be limited to the specific information that is needed under those circumstances. Access to your personal information within the CSCAU will be restricted to those individuals who need the information in order to carry out their job duties. They will maintain the information in the strictest of confidence and will not provide access to the information to anyone who is not authorized. The level of access to personal information will be granted on a need-to-know basis and aligned with our Data Protection policy.

All individuals we hire under contract or other means to conduct business on our behalf are required to respect the provisions of the CSCAU’s Data Protection policy and related internal data protection procedures.

Consent
When you apply or register for our government-funded (“free”) programs or services, you are required to provide consent (using an online form) before we collect your personal information. When using your personal information for a new purpose, we will document that new purpose and ask for your consent where required by law.
